Position Overview We are seeking a detail-oriented Customer Service Representative to support three core areas: (1) screening shipping addresses for compliance, (2) handling shipment-related customer complaints (damaged, over-delivery, under-delivery, missing items), and (3) processing orders accurately and efficiently. The role requires strong attention to detail, cross-functional collaboration with Sales, Customer Service, Logistics, and Compliance, and a customer-focused approach to ensure compliant shipments, timely issue resolution, and precise order management. Key Responsibilities 1. Screening (Address Compliance) · Review and screen customer shipping addresses in accordance with internal compliance guidelines. · Cross-check addresses against restricted/sanctioned entity lists and export control requirements. · Flag and escalate suspicious or high-risk addresses to the Compliance team. · Maintain accurate records of screening results, rationale, and follow-up actions. · Contribute to continuous improvement of screening procedures and data quality. 1. Customer Complaints Handling (Dispatch/Delivery Issues) · Serve as the primary contact for shipment-related customer complaints (damaged goods, over-delivery, under-delivery, missing items). · Collect, document, and investigate issue details; coordinate with Logistics, Sales, and Warehouse for resolution. · Process replacements, refunds, or deviations per policy; communicate outcomes to customers clearly and promptly. · Track the status of each claim and ensure timely closure; update related systems and dashboards. · Identify root causes and participate in process improvements to reduce recurrence. 1. Order Processing · Enter and manage orders in the ERP/order management system with high accuracy. · Handle order changes, cancellations, backorders, and special delivery requirements. · Coordinate with Warehouse and Logistics to ensure on-time fulfillment and accurate shipments. · Provide customers with proactive order updates (status, ETA, delays) and confirm delivery success. · Ensure proper documentation and data integrity for all orders. Requirements ● Bachelor’s degree ● Strong attention to detail and accuracy ● Careful, patient, and responsible work attitude ● Basic English reading ability; willingness to improve both English and Mandarin ● Good communication skills and a collaborative mindset ● Ability to follow standard operating procedures and work under time pressure ● Proficiency with MS Office; familiarity with ERP/CRM/order management systems is a plus ● Fluent English Preferred Qualifications ● Experience or internship in customer service, logistics, or data review ● Basic understanding of export control or trade compliance ● Prior exposure to screening, claims, or order management processes
