- Scope of Responsibility: The HR Assistant has responsibility for administrative and clerical support in Human Resources. The Assistant will provide administrative support to the supervisor to ensure the management of all aspects of the employment of the faculty and staff, local and expatriate. The Assistant will undertake tasks that will ensure processes are monitored and recorded, and information is safely and securely stored. The Assistant will provide administrative support to enable the efficient completion of tasks related to operations of the HR business of the school. Major Duties: Collaborate with the HOS and HOS designees to identify future hiring needs based on the existing establishment and business development; Responsible for posting jobs (for hiring Chinese employees) to appropriate employment flat forms, conducting job interviews and creating files; Assist with staff on boarding, resignation, renewal, transfer and promotion; Complete the registration for new hires; Support teachers to communicate with estate agents and property landlords for rental contracts negotiation, renewal and other details management; Provide support to expatriate employees on housing services to coordinate with landlords and estate agents in the supply of approved services; Provide emergency support to expatriate employees in housing and related areas; Assist with collection and return of documents from expatriate employees for visas and working permits applications and renewals; Provide secretarial support with preparation of required documents from external agencies and authorities; Perform the transactions for the increase and decrease of five social insurances and housing fund for employees; Responsible for the preparation of the annual inspection; Assist in aspect of annual employee benefits management as well as board and lodging issues; Assist in the preparation of materials required by employees, school departments, and the government; Assist in addressing HR related issues, identifying potential HR risks/problems and proposing solutions; Assist in drafting HR rules and procedures, monitoring the implementation process and put forward rectification suggestions; Perform other duties as required by the HOS or HOS designee. Required Experience, Training and Qualifications Bachelor degree in Human Resources and/or relevant field; Two years of related experience in the field of human resources; Familiar with the comprehensive module of Human Resources management and various practical operating procedures; Familiar with various national labor and personnel regulations and policies, and capable of operating and applying; Possess good work ethics, effective communication and interpersonal skills, self motivated, strong sense of responsibility and reliable team player; Initiative, reliable and professional work ethic; Competence in the use of IT and familiar with Microsoft Office suite. Professional Growth and Evaluation The HR Assistant will be evaluated on performance in: Ensuring high standards of compliance with Human Resource practices; Supporting the school’s processes in HR; Organisation, interpersonal, and communication skills.
