Job Description: • Coordinate the logistics of nationwide business trips; • Collect information and help the manager to prepare the department activity reports; • Answers phones extensively and professionally, screen calls and deals with client requests/questions effectively and professionally; • Types letters, memos and documents with accuracy and excellent typing skills both in English and Chinese; • Uses the office equipment proficiently when copying and faxing documents. Always follows up with every details, making sure faxes are timely sent and received by professionals and clients; • Prepares and processes very complex expenses reports, ensuring adherence to Firm policy. Timely follows up with related departments and professionals regarding the processing status of the expenses report and timely inform the professionals; • Makes very complex travel arrangements effectively, including hotel accommodation, air tickets, and local transportation. Demonstrates strong forward thinking ability; • Prepares briefing packages independently by following professional’s requests. Can maintain systematic filing documents; • Screens, prioritizes, forwards and actions post for the professionals; • Always arrives at work on time and get things prepared well in advance. Always inform the professionals of her whereabouts. No unexcused absenteeism; • Manages schedules, extensively arranges/coordinates/updates of complex meetings for the professionals.
Knowledge • Good command of English, ability to provide translations of business and detailed documents from Chinese to English and vise versa with every little correction
Skills and Abilities • Good PC skills, ability to use Word, Excel, Powerpoint to create complex spreadsheets and advanced document production • Absolute integrity and trustworthiness • Strong initiative and ability to prioritize challenges and workload • Strong commitment and flexibility in terms of working hours • Ability to work in a pressured atmosphere • Some familiarity with the financial services industry would be a plus • Mature, professional, energetic, hard-working, pleasant and presentable
Qualifications • Holding a Bachelor’s degree from a reputable university • More than 3 years relevant experience working in a multinational company (from law firm or consulting firm is a plus)
